We are currently recruiting for a PA to support two Directors for a public sector organisation based in East London.

Previous experience working for a council or local authority would be desirable. The role will be mostly working from home, however the successful candidate would be required to attend the office in Barking once a week if and when required.

Key duties will include:

  • To provide an efficient and effective PA function including working across departments to main the smooth running and co-ordinated management of the office at Director level.

  • Reading, monitoring and responding to emails

  • Managing and maintaining complex diaries and being an effective gatekeeper

  • Providing support for an extensive range of meetings. This will include preparing agendas, meeting papers, minuting meetings, noting action points and following them up

  • Arranging travel and accommodation and preparing travel itineraries

  • Draft responses on behalf of the two Directors and ensure that correspondence is dealt with to the highest standard

  • Receive enquiries on behalf of the two Directors, acting as a first point of contact, screen telephone callers, redirecting calls as appropriate, dealing with queries where possible and operate an effective message transfer system keeping the Directors fully informed. Take responsibility for ensuring any outstanding work is dealt with appropriately through the use of an effective track and trace system

  • Provide a full word processing service, using Microsoft Office, internet and other It packages as required including copy typing work, preparing confidential and sensitive correspondence and other documentation as required

  • Prepare requisitions and handle invoices and expenses

  • Work within a team of PA's providing support to the Directors and others within the team. Provide support and cover for other PA's whenever required.

  • Develop and maintain effective relationships and communicate in a professional and courteous manner between Members, MPs, Government and other agencies, staff, partners, business contacts and the public

  • Maintain and up-to-date Outlook Contacts file for quick and easy reference and prepare mailing lists
